How do I use the My Imperial Campus App?

Once you have downloaded and installed the app, you can use it to check in your attendance for your lecture or class. The App uses the College’s Single Sign-On and Multi Factor Authentication.

Signing In and using the app

  1. Open the app
  2. Press ‘Sign In’
  3. If you have Single Sign On and Multi-Factor Authentication enabled, a pop up will prompt you to ‘Continue’ and Pick an account. Select your account.
  4. Sign in with your Imperial email address (username@ic.ac.uk) and password
  5. A list of your timetabled sessions for the day will appear under ‘My Events’.
  6. Once you are in your scheduled lecture theatre select ‘Check in’
  7. The app will check you in and a confirmation screen will appear

The Check in option will be available five minutes prior to the start of the session and remain open for the first 30 minutes of each session. If you arrive later that 30mins from the timetabled start time of the sessions, you will not be able to check in and logged as absent.

If you have an issue or difficulty with using the app, please report this to your Departmental contact.

What if I cannot make the session?

Let the Department know if you are absent for any reason. However, please note that you may be required to provide evidence of the reason for your absence. You can also select "Unable to Join" option on the MyImperial Campus App in the event check-in.

How are you using the check in data from the App?

The My Imperial Campus App surfaces individual timetabled teaching events (via the College timetabling system, Celcat). Students are able to use the App to check-in to these events five minutes prior to the start of the session and remain open for the first 30 minutes of each session. Each teaching room has a specific beacon allocated to it which the App will connect with and validate by the use of the location data.

Specific Departmental staff can access the information through the Admin Portal and follow up on any engagement concerns from a wellbeing perspective or use it to confirm attendance. Departments can use the My Imperial Campus App to collect attendance data to satisfy this engagement requirement from the Home Office. If that is the case, students subject to conditions on their visas will be informed by email about this. Please note this is only changing one of the methods in how this is collected at the moment.

How and why are you using location data through the App?

Location data is used to verify that the user is close to the beacon when checking in. Only the confirmation and beacon number is recorded against the individual and event.

I'm a student studying on a Tier 4 visa what does this mean for me?

As a student sponsored for a Student Visa by the College you have a responsibility to comply with the conditions of your visa and to help the College meet its responsibilities to the Home Office to maintain that sponsorship during your studies.

As your visa sponsor, we are responsible for monitoring your engagement on your course as part of the visa conditions from the Home Office.

Departments can use the My Imperial Campus App to collect attendance data to satisfy this engagement requirement from the Home Office. If that is the case, you will be informed by email about this. Please note this is only changing one of the methods in how this is collected at the moment.

Attendance at lectures, seminars, tutorials and practical classes is an integral part of a student's programme of study and students are expected to be regular and punctual in their attendance.

Let the Department know if you are absent for any reason. You can use the My Imperial Campus App for individual sessions to do this. However, please note that you may be required to provide evidence of the reason for your absence.

What happens if there is a timetable or last minute room change?

If a session needs to move rooms on the day, it may not appear on the app in the new room. Timetable changes are updated overnight into the App. Depending on the room change you might not be able to use the check-in feature so the expectation for that session is that you will not be expected to check-in for it.

I'm a student in the Business School so what happens if I am below 75% in person attendance?

If you fall below 75% in person attendance, the programme team will reach out to you to understand why and see if they can help. It is important that you attend as many of the sessions as possible.
